This notice explains what personal information Excel Inspection Solutions collects when you use this website or get in touch, why we collect it, how long we keep it, and the rights you have over it under UK GDPR.

What we collect and why
Information you give us
When you submit an enquiry through the quote form or email us directly, we collect the details you provide:
- Your name and the company you represent
- Your email address and phone number
- Your site postcode and the equipment or service you're enquiring about
- Any additional information you choose to include in the message
- How you heard about us (optional)
We use this information to respond to your enquiry, scope the work, send quotes, and — if you become a client — manage the inspection engagement. The lawful basis is legitimate interest in conducting and growing our business, and where a contract is in place, performance of that contract.
Information we collect automatically
If you accept analytics cookies via the banner shown on your first visit, we use the following services to understand how visitors use the site so we can improve it:
- Google Analytics 4 — aggregate visit data: pages viewed, time on page, device and browser type, approximate location (country / region), referring source. We do not enable Google's advertising features and we do not share data with Google's ad products.
- Microsoft Clarity — anonymised session recordings and heatmaps showing how visitors interact with pages (clicks, scrolls, mouse movement). Form fields and any text marked sensitive are masked. We use this to find usability issues, not to identify individuals.
Both services set cookies and process data only after you accept. The lawful basis is your consent, which you can withdraw at any time by clearing your browser's site data for eis-uk.com.
Cookies
The site uses a small number of cookies. Strictly necessary cookies (e.g. the one that records your consent choice itself, stored in localStorage as eis_consent) are always set. Analytics cookies from Google Tag Manager, GA4, and Microsoft Clarity are only set after you click "Accept" on the consent banner. Full details are in our cookie policy.
How long we keep your data
- Enquiry data (name, email, message, etc.) — kept for up to three years from your last contact, then deleted, unless we have an ongoing business relationship.
- Client records (contracts, inspection reports, invoicing) — kept for at least six years after the last engagement to comply with HSE record-keeping requirements and HMRC accounting rules.
- Analytics data — Google Analytics 4 retains user-level data for 14 months by default. Clarity retains session recordings for up to 30 days. Aggregate reporting may be kept longer in anonymised form.
Who we share it with
We don't sell personal data. We use the following third parties to operate the site and the enquiry process, and we have data processing agreements with each:
- Web3Forms (form submission relay) — receives the contents of your enquiry and forwards it to our inbox.
- Vercel (web hosting) — serves the website. Vercel logs may contain IP addresses for diagnostic purposes.
- Google (Tag Manager and Analytics 4) — only loaded after consent.
- Microsoft (Clarity) — only loaded after consent.
We may also share data where required by law (e.g. with HMRC, HSE, or in response to a valid court order).
International transfers
Some of the processors above (Google, Microsoft, Vercel) are headquartered in the United States. They operate under the UK Extension to the EU–US Data Privacy Framework, providing an adequate level of protection for personal data transferred from the UK.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal data we hold about you (right of access)
- Have inaccurate data corrected (right to rectification)
- Ask us to delete data we no longer need (right to erasure)
- Receive your data in a portable format (right to data portability)
- Object to processing based on legitimate interest (right to object)
- Withdraw consent for analytics at any time

Complaints
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd rather hear from you first so we can put things right — but you don't have to go through us before contacting the ICO.
Changes to this notice
We may update this notice from time to time — for example if we change a third-party service or refine how data is retained. The "Last updated" date at the top reflects the most recent change.
